See how you can view attendance photos in the Web-app, enable break recording on the Timestation, and employee engagement surveys

Can I See the Attendance Photos Online? 

Yes, you can view the photos associated with the punch times (the clock in and out records on the Timestation app) remotely in the "Review Punch Times" section of the Attendance tab. 

In order to do so, you must have the latest version of the Timestation app, please check that there are no updates available in the App Centre for the Timestation.

Once you have the correct version of the app you will be required to turn on the photo upload settings on the Timestation. Please follow the steps below to do this:

  1. Open the Timestation App.
  2. Click on person icon in the bottom-left corner (Go to the managers portal of the Timestation) 
  3. Select settings on the left-hand side.
  4. Turn on photo upload. 

The app will now start uploading the associated photos with their punch times. You can now check the photos in the system in the "Review Punch Times" section under attendance.

Timestation App asks Employees if They've Taken their Break

How can I make sure my employees have taken their break?

If you are looking for a way to make sure your employees are clocking in and out for their breaks, you can do this in the Settings section of your Timestation. One of the main purposes of this question is to add a column to the breaks report helping you remain compliant with GDPR.

Timestation Settings

Previously on the Timestation, the only way to record that an employee had taken their break was to turn on “Allow employees to clock out for breaks”. This would give employees the option to clock out for their break and clock back in at the end of it. However, workers often forget to record their break times. There is also another setting to allow breaks to be switched on or off. 

 

The following screen will be displayed

The break settings will look as below:

Both settings work independently of each other. 

With both settings turned on:

The employee has the option to clock out for their break and will also be asked the question “Did you take your break today?" when they have finished their shift.

If 'Ask "Have have you taken your break?" when clocking out' is off and 'Allow employees to clock out for breaks' is on:

The employee will still have the option to clock out for their break but they will not be asked "Did you take your break today?" when they have finished their shift.

If 'Ask "Have have you taken your break?" when clocking out' is on and 'Allow employees to clock out for breaks' is off:

Your employees will not have the option to clock out for their breaks but they will still be asked at the end of their shift if they have taken their break.

How does this affect the Break Reports?

When you have the question switched on, there will be an additional column in the Break Report export called ‘Taken’ which will be populated with the answer the employee gave (yes/no).

If the setting is turned off, it will say ‘Off’ in that column. The information recorded in this column is completely independent of the information recorded for ‘Break Start’ and ‘Break End’.

Employee Engagement Survey 

What is the Employee Engagement App and how do I use it? 

Our Employee Engagement app is a great way to monitor your employee morale.

How do I turn Employee Engagement on?

The Employee Engagement Survey is turned on in ‘My Apps’, as part of the premium plan. ‘My Apps’ is only available for admins of the account.

The survey itself will be turned on/off from the Timestation.

To do this:

  1. Go to the Timestation app.
  2. Click on the Managers icon (the white icon)
  3. Go to 'Settings'.
  4. Switch on 'Ask how was your day today when clocking out'

What happens when this is turned on?

  • It appears before the employee enters their PIN. (Regardless of breaks question being turned on/off)
  • This means that it is anonymous.
  • The employee can answer or skip in order to clock out.

The Employee Engagement Dashboard Widget

The widget displaying the survey responses will be controlled from the Webapp settings. The engagement widget will appear on both single and multi location dashboards. 

To switch this on:

  1. Login to Bizimply online.
  2. Click on your name/email in the top right.
  3. Click on Settings.
  4. Dashboard Options > Dashboard Items.
  5. Switch the Engagement Survey option to 'on'.

The widget will display responses from 

  • Today
  • Yesterday
  • The Last 7 Days
  • The Last 30 Days

For each of these time spans, the widget will display 

  1. The total number of responses
  2. The total of each response: Bad (%), Ok (%), Great (%) 
  3. If each total is more/less or equal to the previous corresponding time period (%). 

For each time span, you can export a CSV or PDF.

Employee Engagement Exports

These exports can be submitted from the widget on the dashboard and from Reports.

To Export from the Widget

  1. Click on the upside-down arrow on the widget.
  2. Choose either Export CSV or Export PDF.

 

To Export from Reports 

  1. Login to Bizimply online.
  2. Click on your name/email in the top right.
  3. Select Reports > Employee Reports > Employee Engagement.
  4. Select locations and date range then submit.
